Implementation Support

We collaborate with educational clients to co-design tailored implementation plans that align with their priorities, timelines, and schedules. Once school districts decide to adopt Colleague AI, we schedule a co-design meeting within one week to plan the following aspects. Essential tasks and milestones may include:

Onboarding (within 1–4 weeks of establishing the partnership)

- System requirements and allow-listing
- Single sign-on (SSO)
- Rostering
- Learning Tools Interoperability (LTI) integration
- Provide detailed setup and integration instructions
- Support rostering via ClassLink, Clever, and OneRoster
- Support LTI with Canvas, Schoology, Microsoft Teams, and Google Classroom
- Coordinate with Colleague AI’s technical team to complete setup and performance testing
Policy & compliance- Execute district student data privacy agreements (DPAs)
- Align with district AI guidelines
- Provide required DPA templates and security questionnaires
- Share district AI policy/guidance for alignment
Training
Initial 90-minute session for teacher-facing features
- Deliver one 90-minute synchronous training (included with subscription)
- Provide free asynchronous materials for review or self-paced learning
- Coordinate timing/logistics with Colleague AI’s customer success team
- Identify educators who can serve as peer trainers
- Share strategic priorities and teacher pain points to inform customized materials

Ongoing support

Technical assistance- Respond to teacher tickets submitted via the “Share Feedback” feature
- Respond to district IT administrator feedback
- Collect technical issues from users and share with Colleague AI promptly
- Communicate resolutions back to users in a timely manner
Building educators’ AI capacity
- Second training (90 minutes): Classroom & student-facing features, typically 1.5–2 months after onboarding
- Third training (60–90 minutes): Differentiated supports using usage insights; beginner/intermediate/advanced tracks (~3 months after the second training)
- Free monthly webinars
- Educators’ AI Competency Digital Badging (AICE) (with the University of Washington)
- Deliver the second free training when districts are ready to enable student-facing features
- Offer optional third training with differentiated content
- Host free monthly webinars
- Provide AICE digital badging to guide and encourage ongoing growth
- Coordinate timing/logistics with the customer success team
- Identify internal trainers/champions
- Collaborate on developing internal AI capacity
